What is a "Virtual Booth?"

A "virtual booth" is a profile for your company where you can add product/service details, PDF files, social media and contact links, calendar invitations, and rep contact info. You can also enable live video chat for on demand questions from attendees. Your profile will be available to attendees during the entirety of the event but you do not have to present for the entire event unless you so choose.

Frequently Asked Questions


How will attendees find my company?

Your uploaded logo will appear on the “Exhibitor” tab on the main event page. When an attendee clicks on your logo, the information you provide will be displayed.

 

Am I limited on what and how much information I can share on my virtual booth page?

Vendor pages are a standardized format and may include any or all of the following:

  • Company name, address, URL, and a company bio (up to 1500 character limit)
  • Contact name, email, and phone number for up to two booth representatives
  • Company social media links
  • Calendar invitation link
  • Product showcase with one showcased product, highlighting regular price and sale price (if applicable). The showcase may include 1 photograph and a “buy it now” button (which will link to your website – products cannot be sold directly from the Summit platform).
  • Up to 3 additional photographs (4 total including product photograph)
  • One pdf of whatever you choose (product list, additional company information, etc.)
  • A link to up to two live chat rooms where attendees can speak with your representatives

 

How will I setup my virtual vendor booth?

Within 2 business days after registration, you will be emailed a questionnaire to collect the needed information for your virtual booth, as well as link to upload your completed questionnaire, images, and other files.  We ask that all forms and images are uploaded by COB on May 7, 2021 so that we can review and check for any missing information. Submissions made after May 7 cannot be guaranteed to be included.

 

Will I be given the attendee contact list?

After the event, you will be provided the contact information for those attendees who click into your virtual booth.

 

Are there required hours if I enable the live chat feature?

Yes. We request that all vendors who enable the live chat feature to please be available during the networking lunch hour (11:15am to 12:15pm CST, Friday, May 21). You may list additional availability on your vendor page.

 

How many reps can attend at the same time to answer questions/meet with people?

You may register up to two representatives.

 

Can multiple people be in my virtual room at once, or am I listed as “busy?”

You may have up to two virtual rooms, each of which can hold 4 visitors plus a representative from your company. An attendee will click on your link and “knock” on the door of your room. If the 4 spaces are full, they will receive a message that the room is full and to please come back later. If you do not answer the “knock,” they will receive a similar message to please try again later. (You will receive a custom link before the conference for your virtual chat room.)

 

Can vendors attend learning sessions?

If a registered vendor would like to attend learning sessions, please also register as an attendee. Please keep in mind that advertising is not permitted in learning sessions and those who attempt to advertise or sell a product may be ejected from the session.

 

How many attendees are expected at the event?

This is our first virtual event, so it is difficult to estimate. We are guessing it will be around 600 Tennessee educators.

 

What is the Cancellation Policy?

Registration fees are non-refundable. We regret that refunds will not be given for no-shows or those who fail to upload their required files by the deadline.
